Did Not Attend Policy

Did not attend policy

At Fit 2 Fly Medicals wasted appointments are a problem.  The issue of Did Not Attends (DNAs) is a continued frustration for both examinees waiting to get an appointment with both Dr Wallis and Medical Examiner Rachel Sabin working for Fit 2 Fly Medicals.  Fit 2 Fly Medicals, in an attempt to try to rectify the problem, have therefore agreed on the following policy:
The appointment system is monitored to search for examinees that have ‘DNA’d’ appointments which they booked for Dr Andrew Wallis, GP, AME and Medical Examiner Rachel Sabin.

Notifying us at Fit 2 Fly Medicals:

Examinees must notify Fit 2 Fly Medicals the day before their appointment should they not be able to attend by ringing Katie Bugby (Dr Wallis’ Secretary) on 01789 763060 option 5.  If an emergency situation means an examinee cannot attend on that day, examinees must ring as early as possible on that day, before the appointment time, to notify our team that they cannot attend. This appointment can then be offered to another examinee.

Failing to Attend Without Prior Notification:

When an examinee fails to attend an appointment with a healthcare professional, Katie Bugby will call to find out why and will ensure the DNA code is recorded under the examinees name.  If unable to get in touch via telephone the standard DNA letter will be emailed to the examinee.

If an examinee fails to attend for a second time Katie Bugby will call, if no reply, another email will be sent. If an examinee fails to attend for a THIRD time within a 12 month period, Dr Wallis will discuss this with the team and write a formal letter to the examinee, reminding them of the importance of first cancelling unwanted appointments, and detailing the consequence of not cancelling. This letter will also explain to the examinee that, should they fail to attend a further appointment without first cancelling it, they will be automatically put to the back of the booking list.

Should Dr Wallis decide it is in the best medical interests of the examinee for them to remain on our list, the examinee will be sent a letter advising them  of the decision made, reinforcing the Fit 2 Fly Medicals policy and advising the examinee of the consequences should they DNA again.
